Call recordings, transcripts and AI-assisted preparation
Recording is optional. Before recording an Alignment Call, your Coach explains how the recording will be used and asks each participant for permission. The host starts Zoom recording only after everyone agrees. You can decline recording and still take the call, using notes you permit.
With your permission, we use the recording and transcript to prepare your coaching, check its quality and help iBOS draft your Blueprint. Your Coach reviews and approves the proposal before you decide whether to accept it. Accepting a proposal and signing your identity remain separate choices.
We use this call information to support your coaching, not to train AI models. Zoom’s recording notice does not replace your permission for these uses.
Data Usage
The information you enter in iBOS, and the AI drafts generated from it, are stored to deliver coaching, support quality assurance, and improve the service.
Who can see it and how long we keep it
Access is limited to the Coach authorized for your call, your assigned Coach where separately authorized, and administrators who need access to support the service. Zoom and the AI services used by iBOS process only the information needed for their functions.
We keep call recordings, transcripts and call-based drafts or proposals you have not yet accepted for no more than 90 days after the call ends, including when your Coach has approved the proposal or you do not join, unless a specific legal requirement requires longer storage. A Blueprint you accept is part of your coaching record and follows the member-data retention rules in this policy. Removing an expired recording does not by itself remove that Blueprint.
Our AI provider, OpenAI, may keep security and abuse-prevention logs for up to 30 days, or longer when required by law or needed to protect its services or others from harm. These provider logs are separate from the coaching records we control. We do not claim that deleting our copy immediately removes every provider log or backup.
Your choices
You may request an export or deletion through the contact listed in this policy, even if you have not created an account or joined REIIIGN. We verify your identity and connection to the call before releasing or deleting information. You may also withdraw permission for future processing.
We explain any information that must be kept and any provider or backup limits. We confirm deletion only after the applicable actions have been completed.
